Your trust matters to us - here's how we handle your information
Look, we get it - nobody really enjoys reading privacy policies. But here at Glaivor Chronos Fitness, we're straight shooters. This document explains exactly what data we collect, why we need it, and what we do with it.
We're a time-optimized training facility in Vancouver, and just like we don't waste your time in the gym, we won't waste your time with legal jargon here. We've tried to keep this as human-readable as possible while still covering all the important stuff.
By using our services, website, or stepping foot in our facility, you're agreeing to this policy. If something doesn't sit right with you, let's talk about it - our contact info is at the bottom.
When you sign up or interact with us, we collect stuff like:
Since we're all about optimizing your performance, we track:
We're not in the business of hoarding data for fun. Everything we collect has a purpose:
Creating personalized workout programs, tracking your progress, adjusting your nutrition plans, and basically making sure you're getting the results you came here for. Your fitness data helps us optimize every minute you spend with us.
Processing payments, scheduling sessions, managing memberships, and keeping everything running smooth. We can't deliver world-class training without keeping track of who's doing what and when.
Sending you class schedules, appointment reminders, and occasional tips to keep you on track. We might also hit you up about new programs or special offers - but you can opt out anytime.
Your emergency contact info stays on file in case something goes wrong. We also keep records to meet legal requirements and insurance obligations. It's not exciting, but it's necessary.
Understanding how people use our facility and services helps us get better. We look at trends, figure out what's working, and adjust our offerings accordingly.
We're not selling your info to random companies. Here's the real deal on when we share data:
Bottom line: We don't sell or rent your personal information. Period.
We work with trusted partners who help us run things - payment processors, scheduling software, email platforms. They only get the data they need to do their job, and they're bound by strict confidentiality agreements.
If the law requires it or if there's a legitimate legal request, we may need to share information. We're talking court orders, government investigations, that sort of thing. We'll fight it if it seems unreasonable, but sometimes we gotta comply.
If you collapse mid-HIIT session (hasn't happened yet, knock on wood), we'll share relevant medical info with paramedics and emergency responders. Your life's more important than privacy in that moment.
Sometimes we might ask if we can share your success story or progress photos. That only happens if you give us the green light. No surprises.
Yeah, we use cookies - but not the delicious kind (though we can recommend some good macro-friendly recipes).
These keep the website functioning. They remember your login, keep your shopping cart intact, and basically make sure things don't break. You can't really turn these off without breaking the site.
We use tools like Google Analytics to see how people navigate our site. It helps us figure out what's confusing and what works well. It's all anonymized data - we're not stalking you personally.
These track your browsing to show you relevant ads. If you checked out our HIIT classes but didn't sign up, you might see an ad about it later. You can opt out of these through your browser settings or that cookie banner you probably dismissed without reading.
Pro tip: Most browsers let you control cookies in their settings. You can block them, delete them, or get notified when they're being set. Your call.
We take security seriously - probably as seriously as we take proper squat form.
Our facility has security cameras, controlled access, and locked storage for paper records. Only authorized staff can access member files, and they're trained on privacy protocols.
Look, no system is 100% bulletproof. We do everything we reasonably can to protect your data, but if there's ever a breach, we'll let you know ASAP and tell you what happened, what's at risk, and what we're doing about it. Transparency matters.
We don't keep your data forever - that'd be creepy and unnecessary.
While you're actively training with us, we keep all your records current. Workout logs, health assessments, payment history - it's all there to help you progress.
If you cancel your membership, we'll keep your basic info and financial records for 7 years (Canadian tax laws require this). Health and fitness data gets archived for 3 years in case you come back or need historical records. After that, it's deleted.
If you unsubscribe from our emails, we'll keep your email address on a suppression list (so we don't accidentally email you again) but we'll delete everything else.
Just ask. Unless we've got a legal obligation to keep something (like tax records), we'll delete your data if you request it. Simple as that.
You've got rights when it comes to your personal data. Here's what you can do:
Request a copy of everything we have on you. We'll send it over in a readable format within 30 days.
If we've got something wrong, let us know and we'll fix it. Your records should be accurate.
Want out? Request deletion and we'll wipe what we legally can (some stuff we gotta keep for taxes/legal reasons).
Moving to another gym? We can provide your workout history in a format you can take with you.
Don't want us using your data for marketing? Opt out anytime. Essential stuff still happens, but the extra stuff stops.
Changed your mind about something you agreed to? You can revoke consent at any time.
How to exercise these rights: Email us at info@glaivorchronos.info or call (604) 555-0187. We'll verify it's really you and then get it done.
We integrate with some external services to make things work better. Here's what you should know:
We use secure payment processors that comply with PCI-DSS standards. We don't store your full credit card numbers on our servers - that's handled by the payment folks who are way better at it than we'd be.
Our booking system and email platform are provided by third-party companies. They process data on our behalf but can't use it for their own purposes.
If you connect your social media accounts or share content from our site, those platforms have their own privacy policies. We can't control what they do - read their policies before linking up.
Sometimes we link to other websites (like supplement companies or fitness resources). Once you click away from our site, you're playing by their privacy rules, not ours. We try to only link to reputable places, but we can't vouch for everyone.
